Bay Tools Controller

Overview

Teebly Bay Tools Controller is a bay automation system for simulator facilities. It runs on the same Windows PC as your simulator bay and controls access based on booking activity.

Bay Tools is designed to:

Limit software access to active bookings only
Allow staff to manually lock or unlock a bay from the dashboard
Send messages to guests while a bay is in use
Simplify bay automation setup
Encourage golfers to extend bookings
Prevent the need for smart plugs and switches

This helps prevent unauthorized use and overstaying while maintaining a smooth guest experience.

How Bay Tools Controller works

Bay Tools Controller follows a simple booking lifecycle:

Booking starts: the bay unlocks automatically.
Prompt to extend: the golfer is encouraged to extend near the end of their booking if the following slot is available.
Booking ends: the bay locks and shows a venue-branded lock screen that encourages golfers to rebook to unlock the bay.

For back-to-back bookings, the bay remains unlocked between sessions, allowing golfers to transition without interruption.

If intervention is required, staff can lock or unlock bays manually from the Bay Tools section in the Teebly dashboard or via unlock code entry on the simulator PC.

Requirements

A Windows PC with a stable internet connection
Active Teebly business account with at least one bay created
Teebly staff account with administrator access

Setup

Go to the Teebly dashboard and navigate to Automation -> Bay Tools -> Bay Controllers -> Add Bay Controller.
Follow the instructions to download and install the Bay Tools application on your simulator PC.
When the application opens, you will see a connection code. Enter this code when prompted in the dashboard.
Assign the device to the correct bay and set other preferences as needed.
When the connection is successful, the dashboard will show the device as "Online" and Bay Tools will begin controlling the bay based on the setup preferences.
Repeat for additional bays as needed.
(Recommended) Enable Bay Tools device notifications by going to Account -> Notifications in the Teebly dashboard. This will ensure you receive critical alerts for your Bay Tools devices, such as offline alerts.

When a PC is restarted, the bay will return to an unlocked state. For this reason, we recommend that you set a password to prevent unauthorized use, depending on your PC configuration.

Validate your setup

After setup, run this quick verification checklist:

Send a manual lock command from the dashboard and confirm the bay locks.
Send a manual unlock command and confirm the bay unlocks.
Send a test message to the bay and confirm it appears on the screen while unlocked.
(Optional) Ensure the auto screen lock feature is enabled to automatically lock and unlock the bay based on booking activity.

Messages will not appear on the bay screen while the bay is locked.
