Teebly Bay Tools

Overview

Teebly Bay Tools is a native bay automation system for simulator facilities. It runs on the same Windows PC as your simulator software and controls access based on booking activity.

Automated access

Automatically lock bays when idle and unlock them when bookings start.

Send messages to active bays for support, reminders and announcements.

Bay Tools is designed to:

  • Lock bays when they're not in use
  • Unlock bays when bookings start
  • Limit software access to active bookings
  • Allow staff to manually lock or unlock a bay from the dashboard
  • Send messages to guests while a bay is in use
  • Simplify bay automation setup
  • Encourage golfers to extend bookings
  • Reduce the need for smart plugs and switches

This helps prevent unauthorized use and overstaying while keeping the guest experience smooth.


How Bay Tools works

Bay Tools follows a simple booking lifecycle:

  1. Booking starts: the bay unlocks automatically.
  2. Booking ends: the bay returns to locked.

For back-to-back bookings, the bay remains unlocked between sessions, allowing golfers to transition without interruption.

If intervention is required, staff can lock or unlock bays manually from the Bay Tools section in the Teebly dashboard.


Requirements

  • A Windows PC with stable internet connection
  • Active Teebly business account with at least one bay created
  • Teebly staff account with administrator access

Setup

  1. Download and install Bay Tools on the Windows PC that powers the simulator.
  2. When the application opens, you will see a connection code. Enter this code in the Teebly dashboard under Bay Tools -> Add Device.
  3. Assign the device to the correct bay.
  4. When the connection is successful, the dashboard will show the device as "Online" and Bay Tools will control access based on bookings for that bay.
  5. Repeat for additional bays as needed.

Validate your setup

After setup, run this quick verification checklist:

  1. Send a manual lock command from the dashboard and confirm the bay locks.
  2. Send a manual unlock command and confirm the bay unlocks.
  3. Send a test message to the bay and confirm it appears on the screen while unlocked.

Messages will not appear on the bay screen while the bay is locked.
